GJC. GuJC& GcYc Data Privacy Statement for Members

 

GJC, GuJC & GcYc are committed to upholding the General Data Protection Regulations 2018 and the principles of the good practice set out in them.

We will strive to keep information relating to all categories of members of any of the choirs, students and previous students still wanting to keep in touch, confidential in accordance with the law. As a music school, and choirs there may be circumstances where Health and Safety will take priority. 

 

What Data Do We Hold?

Membership List: basic personal details: i.e. Name, address, phone numbers, email address, membership details. This is held electronically and an edited version is available for staff members who need access to it. You can ask to have any of the above left off the edited membership list. GcYc members will be asked to provide their D.O.B as this membership is age related. Photographs taken at events can be used in marketing unless otherwise asked not to. 

 

How Data Is Used

 

To communicate to you regarding membership details, termly fees, student lessons, promotions and other performances that are ongoing within the choirs and A Touch Of Musicality Ltd. These will be sent to you via email, MailChimp and occasionally by post. This is to allow the membership programme to carry on as smoothly as possible, and to allow the staff involved to use relevant details for publicity and marketing. These are legitimate interests.

Consent:

GuJC & GJC written consent for members will be obtained using get to know you sheets and membership forms for all the activities above. 

GcYc written consent for members will be obtained using get to know you sheets and membership forms for all the activities above, which need to be signed by Parents for under 16's.

Students written consent for members will be obtained using get to know you sheets and membership forms for all the activities above.

Security:

We have put in place reasonable security measures to protect against unauthorised access, damage to, disclosure or loss of your personal data. If a data breach does occur you will be informed as soon as possible and the ICO will be informed.

Timescale:

The Membership team will hold your details, if you do not renew for as long as seems reasonable so you can be contacted about shows of other activities. You have the right to request a copy of all the personal information heal about you in a subject access requests. We will take all reasonable steps to confirm your identity. We also ask you to let us know when your details change. We will remove your personal information from our records at any time.
